Privacy policy

Last updated 9 October 2026

This policy explains what personal information The Plan Pal collects when you use this website or our services, how we use it and the choices you have.

Who we are

We are the data controller for the information described here. You can contact us about anything in this policy at hello@theplanpal.co.uk.

What we collect

  • Quote requests: your name, email address, postcode, the services you're interested in, your message, and any photos, plans or documents you upload.
  • Emails: anything you send us by email, including attachments.
  • Project information: details of your property and project that you give us so we can prepare your drawings, plans or designs.
  • Technical information: like all websites, our hosting provider's servers record basic request logs, such as your IP address, browser type and the pages requested, for security and to keep the site running.
  • Website usage (only if you accept analytics cookies): how you use the site, such as the pages you visit, how you arrived, the type of device and browser, and your approximate location (town or region). See Cookies.

How we use it

  • To reply to your enquiry and send you a quote. The legal basis is taking steps at your request before entering into a contract.
  • To carry out the work you've asked for, including preparing drawings and documents for your property. The legal basis is performing our contract with you.
  • To keep records for accounting and tax. The legal basis is our legal obligations.
  • To protect the website from spam and misuse. The legal basis is our legitimate interests.
  • To understand how the website is used so we can improve it, using Google Analytics. The legal basis is your consent, which you can withdraw at any time.

We don't sell your information, use it for advertising, or send you marketing emails.

Who we share it with

  • Our hosting and email provider, 20i Ltd, which stores the website and our email on our behalf.
  • Professionals working on your project, such as a structural engineer, but only when you ask us to or agree to it.
  • Google Fonts: our pages load the Nunito typeface from Google, so your browser connects to Google's servers, which receive your IP address.
  • Google Analytics, provided by Google Ireland Ltd and Google LLC, which collects website usage data on our behalf, but only if you accept analytics cookies. Google may process this data in the United States, under the safeguards of the UK-US data bridge.

We submit nothing to your council for you; you submit your own applications.

How long we keep it

  • Enquiries that don't go ahead: up to 12 months, then deleted.
  • Customer projects: up to 6 years after the work is finished, for accounting and in case questions arise about the drawings.
  • Website usage data in Google Analytics: 14 months, then deleted automatically.

Cookies

Cookies are small files a website stores on your device. We only use analytics cookies, and only if you click Accept on the cookie banner. If you click Reject, or ignore the banner, no analytics cookies are set and Google Analytics doesn't load.

  • Your cookie choice (pp_consent, stored in your browser's local storage): remembers whether you accepted or rejected, so we don't ask on every page. It is strictly necessary, holds nothing else and stays until you clear your browser data.
  • Google Analytics (_ga and _ga_<ID>, up to 2 years): count visits and show us which pages are useful, how people find the site and whether the quote form works. We've turned off Google's advertising features and Google signals, so this data isn't used to show you ads. Google Analytics doesn't store your full IP address.

We don't use advertising or social media tracking cookies.

Changing your mind: use the Cookie settings link at the bottom of any page to accept or reject at any time. If you reject after accepting, we delete the Google Analytics cookies from your browser. You can also block or delete cookies in your browser settings, or install Google's Analytics opt-out add-on.

Your rights

You can ask to see the information we hold about you, have it corrected or deleted, restrict or object to how we use it, or receive a copy to take elsewhere. Email hello@theplanpal.co.uk and we'll respond within one month.

If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk.

Keeping it secure

The website is served over an encrypted connection, uploaded files are sent straight to our email and not stored on the web server, and access to our email is protected by strong passwords.
